The challenge: Scaling and standardizing security across countries

As The Flex expanded into new countries and worked toward its goal of 1,000 rental properties, its distributed workforce needed a reliable way to manage and share access to critical systems. However, the organization’s password management was fragmented and unsecure.

Password-sharing methods like spreadsheets and Slack messages were not only inefficient but also created significant security risks.

In addition, a previous attempt at using a password manager, LastPass, resulted in significant usability issues. LastPass often failed to correctly detect logins, which meant credentials weren’t being filled in like they should have. There were also some employees who couldn’t reliably use it on certain browsers, creating unnecessary friction.

According to Michael Buggy, co-founder and COO of The Flex, “Platform access was spread across multiple users without a consistent system. Employees sometimes had access to passwords they shouldn’t, which meant they could change them and unintentionally lock our admin staff out.”

The Flex also experienced multiple login attempts from suspicious IP addresses, causing a scramble to update passwords manually.

With access to sensitive customer and payment data across multiple countries, the fast-growing organization identified 3 main criteria for their password management solution:

Because they’re still a small organization of 24 employees, The Flex selected Dashlane Business over Dashlane OmnixTM.

Dashlane Business is a robust password management solution that safeguards employee access with unlimited passwords, passkeys, and group sharing and streamlines security controls with an intuitive admin console and customizable policies. It also integrates with an organization’s tech stack, including SSO, SCIM provisioning, and SIEM tools.

Michael says he ensured Dashlane Business was rolled out to all employees.

“Since almost every department needs access to shared accounts, it didn’t make sense to limit it to one team,” Michael explains. “Rolling it out across the organization from day one meant we could standardize our security approach immediately.”

The rollout was smooth, with most employees using Dashlane on day one. Right away, adoption reached nearly 100%. 

Employees quickly saw the benefits of faster logins, fewer password resets, and no longer needing to remember dozens of credentials. Plus, admins appreciate role-based access control, clear audit logs for tracking activity, strong encryption, and smooth onboarding and offboarding.

Within one month of deploying Dashlane Business, The Flex’s Password Health score jumped from 60% to over 90% as employees changed their weak and reused passwords to strong and unique ones.

Access is now tightly controlled and centrally monitored, eliminating the operational bottlenecks created by their old password management methods.
